Your privacy

What we collect

We only collect what we need to look after you. This can include:

• Enquiry details: your name, mobile, email, the procedure you are interested in, your preferred clinic, any consult time you pick, and anything you write in the message box.
• GP referrals: details your GP sends us, such as your name, contact details, date of birth and the reason for referral.
• Waitlist: your name, contact details and preferred clinic if you join the cancellation waitlist.
• Recovery page: your surgery date, and any healing photos and notes you choose to send.
• Website chat: the questions you type into the chat helper.
• Emails: a record of the emails we send you and your replies.

How we use it

• To reply to your enquiry and book your consultation.
• To act on a referral from your GP.
• To offer you an earlier time when a consultation is cancelled.
• To support your recovery, including tips by email and reviewing your healing photos.
• To answer general questions through the website chat.
• To understand how many enquiries the practice receives, in total numbers only.

We do not sell your information, and we do not use it for advertising.

Healing photos

Healing photos are optional. Only send them through your private recovery page link from the rooms.

• Only Dr Thomas and his rooms team can see them.
• They are stored securely in Australia and are never posted, shared or used for marketing.
• They form part of your medical record and are kept as the law requires.
• Keep your recovery link private. Anyone with the link can add photos to your page, but no one can view them through it.

Emails we send

We send emails only about your own care:

• A reply when you send an enquiry.
• Recovery tips on set days after your surgery, with a link to your recovery page.
• An offer of an earlier time if you joined the waitlist.
• A thank you to your GP when they refer you.

To stop recovery or waitlist emails, reply to any email or call the rooms. We never send marketing emails without your consent.

Where your information is kept

Your enquiry, referral, waitlist, recovery and photo details are stored in a secure database hosted in Sydney, Australia, and are only available to Dr Thomas, his rooms team and the company that runs this website for the practice, Interlink AI, for support. Sign-in to the practice system is limited to approved staff email addresses.

Some of our service providers may process information outside Australia, for example our website host, our email delivery service and the AI service that answers website chat questions. We take reasonable steps to make sure they protect it. Please do not type personal health details into the website chat.

Access, correction and complaints

You can ask to see or correct the information we hold about you at any time by calling or writing to the rooms. We will respond within a reasonable time.

If you have a privacy concern, please contact the rooms first. If you are not happy with our response, you can contact the Office of the Australian Information Commissioner or the Victorian Health Complaints Commissioner.
